Description of Officer/Committee Chair Position Responsibilities

For 2009-2010

President-Elect (1st year) – Performs all duties of President in his/her absence, disability or inability to act.  Serves as officer member of Executive Board.  Acts as coordinator of committee chairpersons.

President (2nd year) – Conduct at least four (4) board meetings during term of office.  Appoint committee chairpersons and explain their duties to them.  Check with officers and committees periodically to check on progress and give encouragement and help.   Keep membership informed and involved with association business.  Submit local association update(s) to NYHIMA board and for inclusion in Perspectives and summary of activities in NYHIMA annual report.  Attend NYHIMA Local Presidents meetings, team talks, and Hill Day.  Designate a representative if unable to attend.  Review strategic plan from NYHIMA and coordinate to local strategic plan.  Lead HIMAWNY delegation at the NYHIMA House of Delegates at the annual meeting.  Appoint or hold election for delegates to NYHIMA House of Delegates, coordinate any pre-meeting discussion of issues to be discussed at HOD and HIMAWNY’s position.  Submit names of delegates and alternates to NYHIMA central office at least 20 days prior to NYHIMA annual meeting.  NYHIMA Nominating committee member and participates in conference call for NYHIMA ballot.  Notify newly elected officers of their election.  Submit name (usually president-elect) to central office and liaison to NYHIMA legislative committee and Rapid Response Network.

Past President Director (3rd Year) – serves on Board of Directors.  Acts as a resource person/advisor to the other officers and committee chairmen.

Elected Director – Attend meetings of Executive Board.  Keeps Board informed of social events well in advance to ensure their attendance at important functions.  Promotes activities of association.  Plans social events for association (Holiday party and Annual meeting during term of office.

Treasurer – Dispenses association funds to pay expenses.  Submits a report of financial activity at Executive Board meetings and an annual report.  Collects annual dues.

Secretary - Maintain accurate minutes of Board meetings.    Works with membership chair to mail out annual dues notice.  Send mailings to any non-electronic registered members or any other mailings as determined by the board.  Provides mailing materials to the Nominating committee for HIMAWNY ballot mailing.
